General Agreement Information
An offered activity workshop (the “Workshop(s)”) is a workshop whose purpose is the facilitated collaborative pursuit of a creative activity which does not result in the production of any creative works, and which occurs as a result of Potluck Creative Arts’ own proactive undertaking rather than as a result of a party other than Potluck Creative Arts commissioning such a Workshop.
For each individual Workshop participant (the “Participant(s)”), Potluck Creative Arts requires that an Agreement for Offered Activity Workshops (the “Agreement”) be completed to indicate acknowledgment of and agreement to all the terms of the Policy for Offered Activity Workshops (the “Policy”). Potluck Creative Arts will permit the Participant to participate in appropriate Workshops only if Potluck Creative Arts possesses an Agreement that has been properly completed on the Participant’s behalf.
The Agreement is to be completed by the Participant or, if the Participant is a minor, a legal guardian of the Participant. The completer of the Agreement will generally be the person who provides payment for the Workshop and will be referred to as the “Patron” even if another party is providing payment. The Patron may or may not also himself or herself be the Participant. The Agreement becomes binding between Potluck Creative Arts and the Patron upon its completion by the Patron and receipt and approval by Potluck Creative Arts. The Agreement will hold with respect to the version of the Policy which is present on the Potluck Creative Arts website as of the Patron’s dating of the Agreement.
The Agreement will remain in tact indefinitely, with the terms of the Policy applying indefinitely for all Workshops that comprise the particular Workshop series (the “Offering”) in which the Patron enrolls the Participant. Certain exceptions that would reduce this scope of application may be requested in writing (including email) by the Patron and will be considered at the discretion of Potluck Creative Arts. Potluck Creative Arts reserves the right to cancel the Agreement at any time and for any reason it deems appropriate.
Participant Information
The Patron will provide in the Agreement the Participant’s Full Name, i.e., the fullest legal form of the Participant’s name.
In the case of an Offering designed for joint participation of an adult and a minor, a single Agreement will suffice to enroll both the adult and a single minor as Participants. Appropriate information on both Participants must be provided under Participant Information. This is the only exception to the requirement noted above that a properly completed Agreement must be on file for each Participant enrolled in a Workshop.
Workshop Information
The Patron will select an Offering which Potluck Creative Arts has publicized as being available during a given particular time period (the “Term”) and in which the Patron wishes to enroll the Participant. The Patron will provide in the Agreement the relevant publicized Offering Code.
Some Workshops require that Participants bring certain materials and are publicized as such. Potluck Creative Arts may be able to acquire some or all of these materials for the Participant, with payment at cost due along with the tuition payment. The Patron will indicate in the Agreement whether or not there is a desire to have Potluck Creative Arts acquire materials for the Participant. If this is desired, the Patron must consult with Potluck Creative Arts to determine the appropriate materials fee. If this is not desired, the Patron would be responsible for acquiring all appropriate Workshop materials.
Patron Information
The Patron will provide in the Agreement all requested contact information for himself or herself, signing and dating the Agreement.
Tuition Payments
The Patron will enclose with the completed Agreement full payment of the publicized tuition fee for the given Offering. This will constitute enrollment of the Participant in the indicated Offering.
Payment is due by one week prior to the first Workshop for the given Offering. Late enrollments, including prorated enrollments after one or more Workshops for a given Offering have already occurred, will be considered at the discretion of Potluck Creative Arts.
The Patron will add to the tuition payment any materials fees that may have been determined through consultation, per the Policy.

Attendance of Individual Workshops
As an alternative to enrollment in a complete Offering, attendance of individual Workshops within the Offering will be permitted when possible.
Potluck Creative Arts will attempt to accommodate “drop-ins” whenever possible. However, because an Offering/Workshop may be considered booked up, and because individual Workshops within an Offering may be canceled at various times for various reasons, those interested in attending individual Workshops are asked to check the current Workshop schedules and to contact Potluck Creative Arts ahead of time to confirm availability.
If the desired Workshop is considered by Potluck Creative Arts to be booked up, the inquirer will be informed of any upcoming availability there might be for participation in individual Workshops.
If a Workshop has been canceled, Potluck Creative Arts may, at its discretion, attempt to reinstate the Workshop for the inquirer, as long as there will be more than one Participant available to participate.
Tuition will be charged at a premium for individual classes. Payment is due upon arrival, before the Workshop begins.
A completed Agreement is required for individual Workshop participation. It is to be completed in the same manner noted above for Offering enrollments and will be held in the same regard with respect to this Policy. This Agreement will be sufficient to cover any subsequent participation in the given Offering, whether further individual Workshop attendances or enrollment in the remainder of the Offering.
Complimentary Introductory Workshop
A prospective Participant may receive a complimentary introductory Workshop, providing an opportunity for Workshop facilitator(s) (the “Facilitator(s)”) and the Participant/Patron to learn about each other in the service of deciding whether or not to enroll the Participant in Workshop Offerings. The complimentary Workshop will be scheduled at a date and time agreed upon between the Facilitator(s) and the Participant/Patron.
If the Facilitator(s) and the Participant/Patron mutually decide to move forward with Workshops, enrollment takes place per above.
If either the Facilitator(s) or the Participant/Patron decide not to move forward with Workshops, they may retain the option of revisiting the idea at some point in the future, as appropriate. Subsequent complimentary introductory Workshops are at the discretion of Potluck Creative Arts.
Cancellations, Makeups and Refunds
If the Participant will be unable to attend a particular Workshop, Potluck Creative Arts must be informed as soon as possible in advance. The Participant will be allowed one makeup Workshop for each Offering in which the Participant is enrolled, to be scheduled by mutual agreement between the Participant/Patron and Potluck Creative Arts. When no appropriate alternative Offering is available in the given Term, a makeup will not be possible, and so a credit will be provided toward a future Offering, equal to the prorated value of the unattended Workshop.
Participants who are sick or have recently been sick and would be considered contagious are asked to please stay at home.
Workshops will generally be canceled on days when Red Hook Central Schools are closed due to inclement weather. If Red Hook Central Schools are delayed, Workshops will generally occur on schedule. Patrons should contact Potluck Creative Arts to confirm.
Potluck Creative Arts may cancel a Workshop at any time prior to the Workshop with no penalty to the Patron. Potluck Creative Arts will let the Patron know about such a cancellation as soon as possible in advance, endeavoring to give at least 24 hours notice.
Makeup will be provided in the form of a rescheduled Workshop or per the other makeup and discount options noted above for Participant cancellations, at the discretion of Potluck Creative Arts.
Either Potluck Creative Arts or the Participant may decide to end participation in an Offering for any reason and at any time. Upon dissolution of participation by the Patron, Potluck Creative Arts will provide the Patron with a refund of the smaller of either half the tuition payment or the value of any remaining Workshop(s) not yet completed. Upon dissolution by Potluck Creative Arts, the refund will be this same amount or higher, at the discretion of Potluck Creative Arts. If any materials had been acquired by Potluck Creative Arts for the Participant but not yet paid for, the Patron will be required to pay in full for the materials in question, and upon such payment the materials will be turned over to the Patron just as they would have been under other circumstances.
Location and Schedule
The Participant/Patron are asked to please consult Offering descriptions for details about each Offering’s location and schedule.
Punctuality is extraordinarily important. The Participant must arrive for Workshops on time and no earlier than five minutes before the indicated start time. This provides the Facilitator(s) with time to prepare. Each Workshop will begin by five minutes after the indicated start time. In the case of a late arrival, the Participant may join in upon arrival, and there may be no tuition reimbursement, at the discretion of Potluck Creative Arts.
If the Participant has a non-participating Patron or guardian, that Patron/guardian may stay to observe the Workshop only at the discretion of the Facilitator(s). If that Patron/guardian does not stay for the Workshop, that Patron/guardian is asked to arrive on time at the completion of the Workshop to pick up the Participant.
Food, drinks and any belongings other than materials which may be required for the Workshop should not be brought to any Workshop(s). Extenuating circumstances will be considered at the discretion of Potluck Creative Arts.
Materials
If materials are required for a given Workshop, the Participant must bring to each Workshop the complete set of materials required.
If a Participant has materials they no longer intend to use in Workshops or otherwise, the Patron may make these materials available for other Participants. Potluck Creative Arts will endeavor to find other Participants to make use of them but makes no promises that they can or will be used. Any compensation requests will remain between Participants/Patrons exclusively, except at the discretion of Potluck Creative Arts.
General Policy
All subject to this Policy are also subject to the Potluck Creative Arts General Policy, which is applicable independent of particular services of which one might take advantage.
